The Benefits Administrator manages employee benefits programs, including health, life, and disability insurances, retirement plans, and wellness initiatives. They ensure compliance with regulations, handle employee inquiries, and work closely with vendors to optimize benefit offerings. The role requires strong regulatory knowledge, analytical skills, and excellent communication abilities to collaborate with vendors and employees. The Benefits Administrator plays a key role in maintaining employee satisfaction and supporting the company's overall compensation strategy.

Responsibilities

Benefits Program Administration & Compliance

  • Administer and manage the company's comprehensive benefits programs, including health, life and disability insurance and retirement plans
  • Ensure the accuracy of all benefits enrollments in the HRIS to provide vendors with accurate eligibility information
  • Distribute all benefits enrollment materials and determines eligibility
  • Coordinate with benefits system admin to ensure accurate and timely enrollments with carriers and processes life status changes
  • Report benefits plan information to upper management and assist with 5500 preparations and filings.
  • Manage audits and activities related to plan compliance, including ACA filings, benefits data audits, and compliance activities.
  • Provide support and communication regarding benefits, respond to employee inquiries, and assist with the open enrollment process.

401K, Tuition & Paid Time Off (PTO) Program Management 

  • Administer and audit PTO programs to ensure proper accruals, usage, and compliance with company policies.
  • Administer 401(k) and responds to 401(k) inquiries from managers and employees relating to enrollments, plan changes, and contribution amounts
  • Manage and oversee the tuition assistance program, ensuring eligibility and processing of employee requests.
  • Provide reports for allocation/billing charges, process monthly billings, and ensure timely payments related to PTO and tuition benefits.
  • Facilitate open enrollment meetings and provide ongoing benefit support, ensuring employees are aware of their entitlements and how to navigate the programs.

Leave of Absence (LOA), Workers' Compensation, & Disability Administration

  • Administer benefits, leave of absence (LOA), and workers' compensation processes, ensuring compliance with relevant laws and company policies.
  • Process and administer all leave-of-absence requests and disability paperwork: medical, personal, disability, and FMLA.
  • Effectively interpret FMLA and ADA implications as they relate to leaves of absence and disabilities.
  • Collaborate with stakeholders to facilitate and track leave-of-absence statuses, ensuring proper documentation and communication.
  • Provide employees with guidance on claim issues, plan changes, and any inquiries regarding leave or disability processes.

Qualifications

Education / Experience

  • HS Diploma/GED (required) and seven (7) years experience in HR or Benefits administration - or -
  • Associate’s degree in Business, HR, or other related field (preferred), Bachelor's degree in Business, HR, or other related field (highly preferred)
  • Minimum of five (5) years’ experience in HR and/or Benefits Administration
  • Professional in Human Resource Certification (PHR, SPHR, SHRM-CP, or SHRM-SCP) (Preferred)
  • Specific experience in education, or other highly regulated field, and multi-site, multi-state environments (preferred)

 

Skills

Regulatory Compliance & Benefits Administration Expertise 

  • Strong working knowledge of federal and state regulations, with a focus on ADAAA, FMLA, and state-specific leave/disability regulations.
  • In-depth understanding of state and local laws governing leave, such as ERISA, HIPAA, COBRA, and FMLA, to ensure compliance in all processes.
  • Proficient in principles and procedures for benefits administration, project management, and HR information systems (HRIS), including systems like UKG and PlanSource.
  • Expertise in auditing processes and procedures to ensure proper administration of benefits and leave programs, maintaining compliance with applicable laws.
  • Ability to maintain confidentiality and ensure the security of sensitive employee data throughout all processes.

Technology & Systems Proficiency

  • Intermediate proficiency with productivity software (MS Office), HRIS (UKG), benefits administration systems (PlanSource), and other enterprise-level software (Adobe DC, SharePoint, etc.).
  • Ability and willingness to test and troubleshoot both personal and others' work, identifying issues or system defects and resolving them effectively.
  • Proficient in record-keeping, versioning, document retention, and administrative processes to ensure organized and secure data management across platforms.
  • Ability to identify and resolve system problems or defects, ensuring smooth operation of software tools critical to benefits administration and HR functions.

Communication, Problem-Solving & Employee Support

  • Exceptional listening, conflict resolution, and interpersonal skills to effectively interact with employees and address their needs.
  • Capable of understanding the implications of new information for decision-making and offering clear and compelling presentations of ideas both verbally and in writing.
  • Ability to identify complex problems, evaluate options, and implement solutions in a fast-paced, results-driven environment.
  • Proactively look for ways to assist employees with their needs, ensuring satisfaction while adhering to company policies and legal requirements.
  • Ability to manage sensitive employee information, ensuring confidentiality and handling it with the utmost responsibility and care.
